Aged care facilities

Three homes, twenty-four hours a day, and a file somebody will ask to see.

For the roster clerk, the facility manager and whoever answers the auditor.

What gets in the way

  • Somebody calls in sick at 5amThe night shift has to be covered before the morning handover, and the only people who can work it are the ones whose qualification is still current.
  • The roster, the hours and the pay are three systemsHours are written on a printed roster, typed into a spreadsheet, then typed again for the pay run.
  • Nobody can say who is in the buildingVisitors sign a paper book at the door, and the book is the only answer the fire warden has.
  • Mandatory training is a folder of certificatesDue dates are tracked by hand, and nobody is sure who is overdue until somebody asks.

A week at Sunrise Care

Sunrise Care is invented for this page — an invented aged care provider with three homes — Sunrise Lodge, Rosewood House and Hilltop Villas — and twelve staff. Every business and person named on this site is fictional, and so is the data in the pictures.

  1. MondayThe roster clerk builds next week across the three homes, copies the week before where nothing changed, and leaves two shifts open on purpose.
  2. TuesdayShe publishes it. Everybody sees their own shifts on their phone, and the two open shifts are offered to the staff who hold that occupation at that home — one is claimed within the hour.
  3. WednesdayA support worker asks to be released from Saturday. Whoever can act on it is told, decides, and the answer goes back to the one person who asked.
  4. ThursdayA visitor signs in on the tablet in the foyer and answers the home's own screening questions. The register is on the manager's screen.
  5. FridayStaff clock on and off at the home, checked against its position because this home has that turned on. The approver works through the timesheets that need a decision.
  6. The weekendA fall is recorded against the shift, the resident and the home, and the people who need to know are notified.
  7. Monday againApproved hours become an invoice and a gross earnings statement for the period, and the timesheet list exports as a CSV for the pay run.

What they use

  • TorviThe roster, the hours, leave, incidents and invoicing — the part everybody in the building touches.
  • Torvi KioskVisitors and staff sign in at the door on a tablet, with your own screening questions, and it keeps working when the internet does not.
  • Torvi LMSMandatory training built once and assigned with a due date, with a report of who has finished and who has not.
  • Torvi AgenciesThe shift nobody could cover goes to the agencies you already use, and what they charge arrives on your bills.
